Who we are
Echo Events LLC, doing business as Echo Casino Party, runs casino-themed entertainment at private and corporate events — weddings, parties, and fundraisers. This policy explains what personal information we collect through our website and our booking and event platform, why we collect it, and what choices you have.
It covers five groups of people: visitors who contact us through our website, clients who book us and their contacts, staff who work our events, guests who play at an event, and our own administrators.
What we collect, and from whom
If you contacted us through our website
- Your enquiry
- Your name, and whatever else you choose to give us: company, email address, phone number, event date, and your message.
- How we reply
- By email or phone. We do not send text messages to people who contact us through the website.
If you booked us, or are a contact on a booking
- Identity & contact
- Name, company, email address, phone number, mailing address.
- Your event
- Dates, venue address, guest counts, the games and packages you chose, and your answers to the event questionnaire.
- Payments
- Amounts, dates, and payment method. Card numbers are handled entirely by Stripe and never reach our systems.
- Agreements
- The signed event agreement, your signature, and the time and IP address it was signed from.
If you work our events as staff
- Identity & contact
- Name, preferred name, email, phone, mailing address, shirt size, whether you hold a driver’s licence.
- Work
- Shifts assigned, roles, hours, pay, and whether you confirmed a shift.
- Travel
- The travel radius you set, and approximate coordinates derived from your mailing address so we only offer you shifts you can reach.
- Tax & payment
- Social Security Number and bank account details, where required to pay you.
- Messages
- A record of the texts and emails we sent you about shifts, and your replies.
Your Social Security Number and bank details are treated as our most sensitive data. They are hidden from ordinary administrator accounts, visible only to a Super Admin, and every access is recorded in an audit log.
If you played at one of our events
- What we ask for
- A phone number and a display name. Some events also ask for an email address.
- Your play
- The scores you submit and your place in the tournament or waitlist.
- No account
- There is no password and no login. Your phone number is only used to tell one player from another.
What appears on the big screen: leaderboard and waitlist displays at an event show your display name and score only. Phone numbers are never shown on any public or venue screen.
How we use it
- To quote, book, plan, staff, and run your event.
- To take payment, issue invoices and receipts, and pay our staff.
- To run tournaments and show live leaderboards during an event.
- To send the operational messages described below.
- To keep records we are required to keep, and to resolve disputes.
We do not sell personal information, we do not use it for targeted advertising, and we do not share it with anyone for their own advertising.
Age requirements for event play
Tournament play through our kiosks is intended for guests 18 or older.
A minor may take part with a parent or guardian’s permission. In that case we either use the parent or guardian’s phone number, or we issue a placeholder number that serves only as an identifier for the tournament and does not belong to anyone. We do not knowingly collect a minor’s own phone number, and we do not send text messages to guests.
If you believe a minor’s personal information has been collected through our platform, contact us and we will remove it.
Text messages
Staff shift messages.If you work our events, you may choose to receive text messages about shifts by ticking the box on your staff profile. The box is never ticked for you. We send notice of shifts you can claim, a reminder before a shift you hold, a request to confirm you are coming (and a follow-up if you haven’t answered), a request to reconfirm if the date, time or place of a shift you confirmed changes, and a reminder on the day. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help. Opting out of texts does not affect your work with us — we will reach you by email instead. The opt-in and example messages are shown on our text messages page.
Everyone else. We do not text clients, event guests, or people who contact us through our website. If that changes, we will ask for consent separately and describe it here first.
We do not share, sell, or provide your mobile phone number or messaging consent data to third parties or affiliates for marketing or promotional purposes.
Who we share it with
We use these service providers to run the platform. Each receives only what it needs.
- Supabase
- Database, accounts, and file storage.
- Vercel
- Hosting for the application.
- Stripe
- Card payments, and staff payouts through Stripe Connect. Stripe handles card and bank data directly under its own privacy policy.
- Twilio
- Sending and receiving text messages.
- Resend
- Sending email.
- Google Maps / OpenStreetMap
- Turning venue and staff addresses into map coordinates and distances.
We may also disclose information where the law requires it, or to establish or defend a legal claim.
None of the sharing described in this section includes text-message opt-in data or consent. That is never shared with any third party, except with Twilio solely to deliver our messages to you.
How long we keep it
We keep personal information for as long as we operate the business. We do not routinely delete records: booking, payment, tax, agreement, and staffing records may be needed years later for accounting, insurance, or a dispute.
We delete personal information when the law requires us to — including when you make a valid deletion request under a privacy law that gives you that right. See Your choices and Minnesota residents below.
How we protect it
Access is restricted by role, and enforced both in the application and at the database level. Sensitive staff data (Social Security Number, bank details) is additionally restricted to Super Admins and every access is logged. When an administrator views the platform as another user for support purposes, that session is recorded. Data is encrypted in transit.
No system is perfectly secure, and we cannot guarantee absolute security.
Your choices
- Staff can view and correct their own details, and turn text or email notifications on or off, from their profile in the staff portal.
- Clients can see their orders, events, and payment history in the client portal, and can ask us to correct anything that is wrong.
- Guests can ask us to delete the phone number and name they gave at an event by contacting us.
- Staff can stop text messages at any time by replying STOP.
Minnesota residents
Minnesota’s Consumer Data Privacy Act gives Minnesota residents the right to ask us to:
- confirm whether we are processing your personal data, and give you a copy of it;
- correct inaccurate personal data;
- delete personal data you gave us or that we obtained about you;
- provide your data in a portable, machine-readable format; and
- opt out of the sale of personal data, targeted advertising, and profiling that produces legal or similarly significant effects.
We do not sell personal data, use it for targeted advertising, or carry out profiling of that kind — so there is nothing to opt out of, but you are welcome to confirm that with us.
To exercise any of these rights, contact us using the details below. We will respond within 45 days, and may extend that once by a further 45 days where reasonably necessary, telling you why. If we decline your request you may appeal by replying to our response, and we will answer the appeal in writing.
Changes to this policy
If we change this policy we will update the date at the top of this page. If the change is significant we will make a reasonable effort to tell the people it affects.
